RoomRack Smart Hotel
Smart room management connected to your hotel operations.
From PMS to guest room — climate, occupancy, lighting and hospitality functions within one connected workflow.
RoomRack connects Cloud PMS operations with compatible guest-room automation systems, allowing stay status and room functions to work together.
Depending on the implementation, this can include climate control, occupancy, lighting, DND / Make Up Room and other GRMS capabilities.

One connected room workflow.
From stay status to room functions — not six unrelated products.

What is a hotel Guest Room Management System?
A Guest Room Management System — GRMS — connects room functions such as climate, lighting, occupancy and guest-service indicators within an organised control architecture.
When appropriately integrated with the PMS, room functions can respond to information related to the stay and room status.
The room knows the state it is in.
A connection between the PMS and room automation can allow the room system to take account of operational stay statuses. Examples may include:
- expected arrival
- check-in
- in-house
- check-out
- vacant room
- cleaning required
The exact automations depend on the active implementation and equipment. Not every status automatically triggers a room scenario.
Climate control based on how the room is used.
In compatible installations, the room-automation system can manage heating and cooling according to defined scenarios and the information available from hotel operations.
This can support better management of guest comfort and the room's energy use.
Compatible implementations can support room-temperature preparation scenarios ahead of guest arrival.
Occupancy without relying solely on a card holder.
With suitable sensors, occupancy information can form part of the room-automation logic.
This allows room behaviour to respond to actual usage scenarios rather than relying exclusively on a card inserted into a holder.
Lighting that becomes part of the room experience.
Lighting can be included in defined automation scenarios and combined with other room functions where the installation supports it.
The exact logic, scenes and controls are set by the project design.
DND & Make Up Room.
Do Not Disturb and Make Up Room indicators can form part of the overall room-automation solution, giving clearer information about each room's service status.
Where the relevant integration exists, this information can be brought into the hotel's operational workflow.
Controls inside the room.
Bedside panels, welcome panels, thermostats and other compatible controls can be part of the installation, giving guests access to the functions designed for that room.
Appearance and available functions depend on the hardware and implementation.
More controlled room energy operation.
The value of smart-room automation is not a single thermostat, but the ability for different room functions to work together through defined scenarios.
Depending on the installation, this can support more controlled operation of climate, lighting and other electrical loads.
- Less manual room handling
- A connected view of your rooms
- More consistent room scenarios
- Comfort and energy use working together
- A more coordinated guest experience

Compatible installations may surface operational information available from the connected room-automation system.
Available remote-control capabilities depend on the installation, controller and active integration.
KNX and compatible automation architectures.
KNX is an internationally used building-automation architecture and can be used in hotel installations to coordinate different room functions.
RoomRack can work within compatible guest-room automation implementations, including KNX-based installations where the appropriate integration is in place.
RoomRack does not manufacture KNX hardware. Integration depends on the project design, the controller and compatible interfaces.
New build or existing hotel?
New build
The room-automation architecture can be planned from the start, together with the electrical and operational design.
Existing hotel
Requires a review of the existing electrical infrastructure, controllers, room devices and integration options before the right approach is defined.
Every project is designed individually.
Each Smart Hotel implementation is designed around the property's existing or planned infrastructure, hardware and required room functions.
Can work alongside…
Need access control too?
Room management can be combined with the hotel's Smart Access strategy where a compatible implementation exists.
Which hotels is it suited to?
RoomRack Smart Hotel is for hotels and hospitality properties that are planning or already have room-automation infrastructure and want to connect it more closely with hotel operations.
The right architecture depends on:
- existing electrical installation
- new build or renovation
- controller type
- automation protocol
- number of rooms
- HVAC requirements
- lighting needs
- occupancy sensors
- PMS integration requirements
Frequently asked questions
What is RoomRack Smart Hotel?
It is a connected RoomRack capability for hotel guest-room automation. It links Cloud PMS operations with compatible room-automation systems and is delivered per project, based on the property's infrastructure.
What is a GRMS?
A Guest Room Management System coordinates room functions such as climate, lighting, occupancy and service indicators within one control architecture. The functions available depend on the hardware and design of each installation.
How does RoomRack Smart Hotel relate to Cloud PMS?
Where an appropriate integration is in place, the room system can take account of Cloud PMS information related to the stay and room status. The exact automations are defined per implementation.
Does it support KNX?
RoomRack can work within compatible guest-room automation implementations, including KNX-based installations where the appropriate integration is in place. Compatibility is reviewed per project, controller and interface.
Can the PMS control room climate?
In compatible installations, the automation system can manage heating and cooling according to defined scenarios and information from hotel operations. This does not apply to every HVAC system and is reviewed per project.
Can rooms be pre-conditioned before arrival?
Compatible implementations can support room-temperature preparation scenarios ahead of guest arrival. This depends on the equipment and the integration.
Can the system detect whether a guest is in the room?
With suitable sensors, occupancy information can be used in the room-automation logic. Accuracy depends on the sensors and the installation design.
Is a card holder required?
Not necessarily. With suitable occupancy sensors, room behaviour need not rely solely on a card in a holder. The final choice is made during project design.
Are DND and Make Up Room supported?
Do Not Disturb and Make Up Room indicators can form part of a room-automation solution. Whether they appear in the hotel's operational workflow depends on the relevant integration.
Can lighting be controlled?
Lighting can be included in defined automation scenarios where the installation supports it. Scenes and controls are set by the project design.
Can guests control room functions from their phone?
Guest control of room functions from a mobile device is not a confirmed capability for every installation. The RoomRack team can review what is feasible for your project.
Can Smart Hotel automation be added to an existing hotel?
An existing hotel requires a review of its electrical infrastructure, controllers, room devices and integration options. Not every property is suitable without additional work.
Does it connect with Smart Locks?
Room management can be combined with the hotel's Smart Access strategy where a compatible implementation exists. Smart Locks & Access is covered on a separate page.
Can it help manage room energy consumption?
Depending on the installation, automation scenarios can support more controlled operation of climate, lighting and other loads. No specific savings are guaranteed.
